Cancellation Policy

30+ days before the event: 25% of the total event fee will be charged.
11–30 days before the event: 50% of the total event fee will be charged.
10 days or less before the event: 100% of the total event fee will be charged.

In all cases, 100% of any external supplier costs (e.g., venue hire, special equipment, catering, transfers) where Xperiences HQ Pty Ltd is liable on behalf of the client will be charged.

All cancellations must be submitted in writing.

Wet Weather Policy

In the event of rain, the event will still go ahead.
Marquees and/or other suitable shelter will be provided where appropriate.
In the event of dangerous weather conditions, Xperiences HQ Pty Ltd reserves the right to cancel or postpone the event for the safety of all participants.

By paying for an activity or invoice, you are virtually signing and agreeing to the following declarations:
I am aware that participating in activities may cause distress or injury. My personal property may be lost or damaged, and I may cause injury to others or damage their property.
I am not under the influence of alcohol and/or any drugs that may affect or impair my ability to safely participate in any Xperiences HQ Pty Ltd activity.
I have considered my health and ability to participate and am confident that my participation will not endanger my safety or that of others.
I acknowledge that when undertaking any activity or using any service, equipment, or facility of Xperiences HQ Pty Ltd, both my person and my property are solely at my own risk.
I acknowledge that Xperiences HQ Pty Ltd does not expressly or impliedly warrant my safety or the safety of others in the use of its facilities or services.
I agree to pay for any loss, damage, or injuries caused by or resulting from any inappropriate or improper use of the services, equipment, or facilities.
I agree to abide by all rules, safety guidelines, and regulations established by Xperiences HQ Pty Ltd, and follow the directions of any employee regarding the use of facilities, equipment, and services.
I agree to use the personal protective equipment provided for each activity as applicable.

Acknowledgement, Release, and Indemnity

Release and Indemnity Agreement

Before participating in any Xperiences HQ Pty Ltd activities (“Xperiences”), you must read the following declaration and disclaimer.
By providing payment, you are virtually signing these documents, which can also be found on our website.

I agree to release, indemnify, and hold harmless Xperiences HQ Pty Ltd (including its directors, employees, agents, subcontractors, associates, and assignees) (“the Operator”) from and against all claims, demands, actions, causes of action, judgments, costs of litigation, and fees arising out of any injury, loss, damage, or death to me or my property that may occur as a result of my use or intended use of the facilities, equipment, or services of the Operator.
I further agree that in the event of injury or damage to myself or my property, I will not bring any claim, legal or otherwise, against the Operator in respect of that injury or damage.

I acknowledge and give permission to Xperiences HQ Pty Ltd to use my image in all advertising and marketing publications — both print and electronic — and to store it in the company’s electronic photo library.
I also give permission for Xperiences HQ Pty Ltd to share my image with reputable third parties for both print and electronic publications.
I understand that my image may be freely used by Xperiences HQ Pty Ltd now and in the future without further notice or compensation.
